How to save an Excel range as a PNG

Saving an Excel range as a PNG means exporting only the selected cells—not the ribbon, row numbers, empty worksheet, or another application window. Excel can copy a range as a picture, but turning that picture into a standalone PNG usually takes an additional step.

The direct browser method

1. Open Celtrim's Excel-to-PNG converter.
2. Upload the .xlsx file, or copy a range in Excel and choose Paste cells.
3. Drag across the cells that should appear in the image.
4. Adjust the background, padding, grid, and export scale.
5. Choose Download PNG.

The uploaded-file route is best when you want to preserve supported cell fills, font emphasis, borders, and calculated values. Pasting is faster for a plain table but does not carry the workbook's visual formatting.

Excel's Copy as Picture method

In desktop Excel, select the range and use Home → Copy → Copy as Picture. Choose the on-screen appearance and picture format, then paste the result into PowerPoint, Word, Preview, Paint, or another image editor.

This is useful when the destination document is already open. It is less direct when you need an actual .png file because Excel places the picture on the clipboard rather than saving it to disk.

Choose the range before exporting

A useful table image normally includes its header row and enough context to identify the numbers. It should exclude:

• Empty rows and columns around the table
• Helper calculations the reader does not need
• Worksheet tabs and application controls
• Sensitive columns that are irrelevant to the discussion

If the range is too wide, remove optional columns instead of shrinking the image until its text becomes unreadable. For a slide, report, or chat message, a focused range is usually clearer than a full-sheet screenshot.

Keep the PNG sharp

Export at 2× or 3× scale when the image will be resized in a presentation or document. Reduce its displayed size in the destination rather than enlarging a low-resolution export. PNG is a good fit for tables because it keeps text, gridlines, and flat colors crisp.
